Staff guide
How to use KitchCheck at work. It takes about 5 minutes to read.
Signing in
- Open the website on your phone or the kitchen tablet. Tip: choose Add to Home Screen so it opens like an app.
- Staff: type your Restaurant ID, username and PIN (your manager gives you these). The phone remembers the Restaurant ID next time.
- Managers: tap Manager / admin and use your email and password.
- Sharing a tablet? Tap Switch at the top when you finish, so the next person signs in as themselves. Every record shows who did it.
Your daily checks
Your Dashboard shows what still needs doing today. The Daily checklist shows everything with a tick or a cross.
- Fridges, freezers and hot holds: tap the item, type the temperature, tap Save. At least once a day each.
- Cooked food: probe the thickest part, type the core temperature. Target: 75°C (82°C for reheating in Scotland).
- Deliveries: when chilled or frozen food arrives, check its temperature, packaging and dates, then accept or reject it.
- Opening and closing checks: tap through the list at the start and end of the day.
- Probe check: once a month, test each probe in iced water and boiling water.
- Diary: write a note if anything unusual happens — and what you did about it.
If a check fails
- The app tells you straight away if a temperature is out of range.
- Do something about it — for example move food to another fridge, carry on cooking, or throw food away.
- Write down what you did on the next screen. Re-check the temperature if you can.
- The problem stays on the dashboard until it is sorted, so nothing is forgotten.
Cleaning
Open Cleaning. Choose your area (for example Kitchen or Front of house) — your phone remembers it. When you finish a job, tap the big round tick. That’s it.
Allergens
- A customer tells you about an allergy — open Allergens.
- Tap each of their allergies (for example Milk and Peanuts).
- Green = suitable. Amber = may contain (tell the customer about the risk). Red = not suitable.
If you are unwell
Tap I’m unwell, tick your symptoms and say when they started. Your manager is told straight away. Only managers can see it.
- Diarrhoea or vomiting: do not come in (or go home). You can go back to working with food 48 hours after your symptoms stop.
- When your symptoms stop, open I’m unwell and tap Symptoms have stopped. The app shows your earliest return time.
- Before you handle food again, your manager does a short return-to-work check with you.
Report a problem
Seen signs of pests, or something broken (a fridge not cooling, no hot water)? Tap Report a problem, say what and where, and tap Report it. It goes straight to your manager.
Clocking in, rota and swaps
Only if your restaurant uses this — your manager will tell you.
- Clock in: tap Clock in on your Dashboard when you start. Tap Start break and End break if you take one (breaks are optional), and Clock out when you finish. Or use the shared clock-in screen at work: tap your name and enter your usual PIN.
- Rota & my hours shows your shifts, the hours you have worked and the full rota. On a phone it shows one day at a time.
- Give a shift away: on Rota & my hours, choose one of your shifts and who you want to give it to (or “anyone”). When they accept, the rota changes.
- Swap shifts: choose your shift and the colleague’s shift you want instead. When they accept, the shifts swap. Some restaurants also need a manager to approve.
- You can only give away or swap your own shifts. You never see anyone’s pay.
- Forgot to clock in or out? Ask your manager — they can fix it in Timesheets.
The SFBB pack and your training
SFBB pack is your kitchen’s Safer Food, Better Business pack. Read it to see exactly how things are done here. My training is your training record: when you have been shown how to do something, add it and your manager confirms it. Suppliers & contacts has the numbers you might need — tap to call.
Your account
- Tap your initials at the top right, then My account, to see your details, change your PIN or choose Appearance — light, dark, or the same as your phone.
- Your name or username wrong? Ask your manager to change it, so your records stay linked to you.
- Finished on a shared tablet? Tap Switch so the next person signs in as themselves.
